QR codes for schools and PTAs that never go stale

You know the cycle. The fall fundraiser needs a volunteer signup, so someone makes a Google Form, generates a QR code, drops it on a flyer, and prints 400 copies for Thursday folders. Two months later the book fair needs its own form, so the whole process starts over — new form, new code, new flyer, new print run. And if there's a typo in the form link, or the committee switches from Google Forms to SignUpGenius halfway through, every printed code is suddenly dead.

A ScanTrail QR code works differently: the code encodes a permanent short link, and you choose where that link goes. When the next event comes, you log in and change the destination — the code on the flyer, the newsletter template, and the laminated hallway poster all now point at the new form. October's book fair volunteer sheet, November's conference sign-ups, spring's spirit-wear order form: same printed code every time.

The free plan covers a typical PTA setup: 3 dynamic codes — say, one for volunteer signups, one for event forms and permission slips, one for the newsletter — plus unlimited static QR downloads for links that never change, like the school website. There's also a free WiFi QR generator for family nights in the gym, and none of it requires parents to install anything.

Change the form without reprinting the flyer

Every ScanTrail dynamic code points at a short link you control, so a form that closed, moved, or got recreated is a 30-second fix in the dashboard — not a new print run. Print the code once on your newsletter template or a laminated poster and repoint it for every event all year.

See whether anyone actually scanned it

Each code shows scans per day, a time-of-day histogram, and device breakdown. If nobody scans the Thursday-folder flyer but the hallway poster gets traffic every morning at drop-off, you'll know where to put the next one — and whether the paper newsletter is worth the printing budget.

Print-quality files for whatever you're making

Download codes as SVG for posters, banners, and anything a print shop touches, or PNG for the email newsletter and slide decks. Static codes are free and unlimited with no account, so one-off codes for pages that never change cost nothing.

No app for parents, no dead links at pickup

Codes scan with the standard phone camera, and redirects are served from Cloudflare's edge network, so the link resolves fast even on a crowded school parking-lot connection. Parents scan, land on the current form, done.

How to set it up

  1. Sign up free at forever-scan.com — the free plan includes 3 dynamic codes, no card required.
  2. Create a dynamic code and point it at your current destination: the volunteer signup, the permission slip form, wherever this month's link lives.
  3. Download the code as SVG (for print shops and posters) or PNG (for newsletters, emails, and slides).
  4. Put it on your flyer, newsletter template, or hallway poster and print as usual.
  5. When the next event rolls around, edit the destination in your dashboard — every printed copy of the code now points at the new form.

Common questions

How much does this cost?

The free plan includes unlimited static QR downloads, 3 dynamic codes, and the last 7 days of scan analytics. Pro is $1/month or $10/year and adds up to 1,000 dynamic codes, full analytics history, custom QR colors, and CSV export. For most PTAs, $10 a year is an easy line item — and many will never need more than the free plan.

What happens if our PTA stops paying for Pro?

Your codes keep working. The free plan keeps 3 dynamic codes redirecting, so nothing you've printed goes dead. You'd lose access to Pro features — full analytics history, CSV export, custom colors — and analytics would be limited to the last 7 days, but the printed codes themselves keep resolving.

Do parents need to install an app to scan?

No. Any modern phone camera scans QR codes natively — point, tap the link, land on the form. There's nothing to download on either end.

When is a free static code enough?

Use a static code for any link that will never change: the school website, a permanent calendar page, the district portal. Static downloads are free and unlimited, with no account needed. Use a dynamic code for anything you recreate per event — signup forms, permission slips, order forms — because that's the link that goes stale.

What if the form closes before we update the code?

You can repoint a dynamic code at any time, including after an event ends. A common pattern is pointing it at a simple 'sign-ups are closed — here's what's next' page between events, so a late scan never hits a dead Google Form.
