QR Codes for Hotels and B&Bs: Print Once, Update Anytime
You know the problem: page three of the in-room binder points at a breakfast menu you changed in March. The laminated card by the kettle advertises a winter walking guide, and it's July. Every seasonal update means reprinting, re-laminating, and walking room to room swapping inserts — or leaving stale information up and answering the same questions at the front desk.
A ScanTrail QR code fixes this because the printed code doesn't contain your menu. It contains a permanent short link, and you decide where that link goes: this season's menu PDF, a page of checkout instructions, your current local-events list. When something changes, you edit the destination in your dashboard and every printed copy of that code — in every room — points somewhere new. The print on the wall never goes stale.
Set up one code per purpose (menu, local guide, checkout info), frame each one once, and manage everything from a browser. Guests scan with their phone's built-in camera — no app to install on their end, no laminator running on yours.

Change the destination, keep the print
A dynamic code encodes a permanent short link, so you can repoint it whenever you like. Swap the winter activities guide for the summer one, replace last season's menu PDF, or update checkout times for the holidays — the framed card in room 4 doesn't move.
See which signs guests actually use
Each code shows scans per day, a time-of-day histogram, country, and device. If the breakfast-menu code spikes at 7–9am, it's earning its wall space. If the lobby's local-guide sign never gets scanned, move it somewhere guests will see it. Country data tells you whether a translated version is worth making.
Nothing for guests to install
Guests point their phone camera at the code and tap — no app required. Redirects are served from Cloudflare's edge network, so the hop from scan to your page is fast wherever your guests are from.
Free WiFi and contact-card codes for your rooms
ScanTrail's free tools include a WiFi QR generator and a vCard QR generator, so you can also print a scan-to-join WiFi card for each room and a save-our-contact code for the front desk. Both run entirely in your browser — your WiFi password is never uploaded anywhere.
How to set it up
- Sign up free at forever-scan.com — the free plan includes 3 dynamic codes, enough for a menu, a local guide, and checkout info.
- Create a dynamic code and point it at wherever the current version lives: a PDF, a Google Doc, a page on your site.
- Download the code as SVG (scales cleanly for framed prints and lobby signs) or PNG (drops into binder inserts and room cards).
- Print it and put it where guests will look: the binder, beside the kettle, at the front desk.
- When the menu or guide changes, edit the code's destination in your dashboard. Every printed copy updates instantly — nothing gets reprinted.
Common questions
What does ScanTrail cost?
The free plan gives you 3 dynamic codes, unlimited static QR downloads, and the last 7 days of analytics. Pro is $1/month or $10/year and adds up to 1,000 dynamic codes, full analytics history, custom QR colors, and CSV export. For most small properties, three codes on the free plan covers the basics.
What happens to my printed codes if I stop paying for Pro?
You drop back to the free plan, which keeps 3 dynamic codes redirecting — so your printed codes for those keep working. Analytics goes back to the 7-day window and you lose Pro features like CSV export, but guests scanning your framed cards won't notice anything.
Do guests need to install an app to scan?
No. The built-in camera on any modern iPhone or Android phone reads the code and opens the link. That matters for international guests especially — there's nothing to explain in the binder beyond "scan this."
The menu is a PDF I re-export every season. Do I need to keep the same filename or URL?
No — that's the point of a dynamic code. Upload the new PDF wherever you like, then paste its URL as the code's new destination in your dashboard. The printed code encodes a permanent short link that ScanTrail redirects, so the destination URL can be completely different each time.
Can I make a QR code for the room WiFi too?
Yes — the free WiFi QR generator at forever-scan.com/tools/ makes one, and it generates entirely in your browser, so your password is never sent to a server. One honest caveat: WiFi codes encode the credentials directly in the code itself, so they can't be dynamic. If you change your WiFi password, you'll need to print a new card.
